Inviting non-US Citizens to Your Meetings and Conferences

There are many types of conferences in the government sphere: Scientific, Academic, Environmental Justice, Economic, etc. As our world becomes interconnected with other countries, foreign interest in presenting and attending our U.S.-based and Federal/State-funded conferences grows. This presentation highlights Federal funding (and the State of Arizona) guidelines when hosting meetings with an international audience. This presentation is intended for both planners and suppliers as all event professionals need to understand the importance of compliance with U.S. Tax laws.

In this session we will discuss:

  • Identifying foreign nationals or suppliers
  • Visa classifications
  • Participant support (funding of attendees for events) and why we need to be accurate.
  • Required documentation (invitation letters & visitor document collection)
  • Resources to help keep you in compliance.

Speaker Bio: 

Jennifer “Jen” Garcia is a Research Program Officer III at the University of Arizona for SPECS (U.S. Department of Energy), EMPOWER STEM (U.S. Department of Navy), and Program Manager for the Institute for Energy Solutions.  She has 20+ years of event and project management experience. Specializing in Government Meeting Management, she serves as 1st Vice President of the Arizona Chapter of the Society of Government Meeting Professionals and obtained her CGMP certification in 2018. Jen also has a certification in Digital Event Strategy through the Professional Convention Management Association. Employed at the University of Arizona since 2010, Jen has served on multiple committees championing DEIJ efforts to elevate the status of women, creating inclusive gender-neutral spaces, and fundraising for the creation of lactation rooms across campus. Jen received her Master of Public Administration from the School of Government and Public Policy at the University of Arizona in 2022.
